Scanning Documents
Scanning Documents Steps:
- Go to Copy Machine
- Scan documents to desired destination
- Determine what File will be labeled. Click here for reference-
- Go to Command Center on M1
- Search property
- Distinguish which cabinet pertaining document will be filed under
- For Resident- Click on Resident name. Scroll down under File Cabinet. Choose File will direct you to your scans. Choose document then click ADD button. Make Sure document has successfully added. Dispose of document
- For Owner- Click on File Cabinet under Property Information. Distinguish where they document needs to be filed. Options: Inspection, Violation, Images, Property Disclosures, Estimates, Invoices, Legal, Owner Agreements. Choose corresponding year, Choose File and click Upload File under designated area
- For Invoices- Search for Property on Command Center. Click on Ledger/ Statement under Accounting Information. Search for matching invoice total. Click bubble under Add/Remove Invoice. Scroll to the top of file and under blue tab Add/Remove Invoice Per Selected Below Click Choose File, which will take you to your scans. Choose corresponding scans, then click Add Invoice. Scroll back to matching invoice, click View and make sure invoice has been attached. Once confirmed, dispose of invoice.
