Leasing Application Processing Report ( a.k.a. "the Redbook")

Each Application that comes into the office needs to follow a strict timeline for actions to occur. The reason for this is to adhere to a "first come, first serve" policy giving a 48 hour window on processing an application. If a deadline is missed (for providing documentation, fees for additional applicants, or not receiving a response from an employer or landlord for verification), then the next backup application for the same property would move to the front of the line and begin to be processed.

Of course, if the previous applicant, who missed a deadline, brings in the missing information and we can qualify them, then we could see if they are interested in any of the other properties we have available. If the backup application ends up being denied or misses their deadline and the 48 hours is up, then the previous applicant would be back in first position, if they still wanted the same property and have not been denied for qualifying.

The tracking and review of all the activity completed on the processing of applications was originally documented and kept in a binder, known as the "Redbook". Today it is simple report generated from the Leasing Application Dashboard Screen.

To generate a Leasing Application Processing Report which shows all of the processing activity for a particular time period you will want to go to the Application Dashboard. The Application Dashboard is automatically defaulted to show only the current active statuses; this does not include Rented, Denied or Cancelled.

For a full Leasing Application Process Report, you will want to see; 1. when an application came in, 2. what its current status is, 3. the number of days to process the application, 4. if it was qualified, denied, canceled 5. any reason for denial or cancellation (such as missing a deadline). Follow the instructions below to generate the report properly.

From the Tree View

  1. Expand Leasing
  2. Select Application DashBD
  3. Enter the From date and To date
  4. Leave the Date Type drop-down selection defaulted to RECEIVED
  5. Change the Status from ALL ACTIVE to ALL by selecting it from the drop-down menu
  6. Then, click SEARCH
